PAYMENTS AND BOOKING TERMS

To book a trip, contact us with your desired activities and destinations. We will work with you to create the ideal itinerary and accommodations to fit within your budget. Along with this, we may also offer some other activities that fit your interests.

PAYMENTS & CANCELLATIONS

 After an itinerary is agreed upon, a 30% deposit payable by wire transfer (through bank or services such as Western Union) is required to hold your reservation. We are sorry but due to bank restrictions, credit and bank card payments can only be processed when presented in person. Unless final payment is to be made by bank/credit card, it is due no later than 7 days before the tour starts.

 

CANCELLATION POLICY

 We recommend trip insurance for all travellers to minimize loss in cases of cancellation. Postponements made by clients after a deposit has been made will result in the deposit being applied to the new itinerary. Lodge and permanent tented camps may have stricter loss of deposit policies that will force us to deduct any amount retained by the lodges.

Cancellation of a holiday must be done in writing and is effective from the date we receive the written notification. Reservations that are cancelled, reduced in length of stay or reduced in numbers of participants are subject to cancellation charges.

The charges are expressed in percentage of quoted price as follows:

 

RESERVATIONS

A deposit of 30% of the total tour price is due at the time of making your reservation. The balance is due no later than 7 days prior to departure. We reserve the right to cancel any reservations for which the total fare has not been paid by the due date. In such cases the deposit paid will be forfeited. Only upon receipt of all deposits from all parties travelling the tour will be confirmed. All items included within a proposed itinerary are subject to availability at the time of deposit receipt.

 

CANCELLATIONS POLICY

The following cancellation charges will apply;

32+ days prior to departure – 25% of tour price, 8 – 32 days prior to departure – 50% of tour price, 7 days or less to departure – 100% of tour price

Please note that in cases where bookings have been made for external services such as accommodation, the cancellation charges incurred are the responsibility of the client. Please ensure that you are aware of such external bookings when making a reservation with us. Cancellations must be done in writing via email.

 

ALTERATIONS OF TOUR BY CLIENT

We do not charge an administrative fee for changes you make to an itinerary prior to the due date of full payment. We will do our utmost to make changes as you request but we cannot guarantee that this will be possible as changes are subject to availability. If the client wishes to make changes after the payment has been received in full, we cannot give guarantees that this will be possible. Some changes in itinerary may be subject to surcharge. Once the proposal is confirmed and we have made firm bookings on your behalf, we reserve the right to refuse to make alterations to the itinerary.

 

ALTERATIONS OF TOUR BY COMPANY

Prices quoted are based on costs and exchange rates at time of compilation of quote. A surcharge may be necessary should there be significant changes in the following circumstances:

  1. Transportation costs including the cost of fuel.
  2.  Dues, taxes (including road taxes and tolls) or levies charged by the governments or their agencies.
  3. Exchange rate

We reserve the right to vary, modify or cancel any itinerary, either part or wholly. If this is necessary, we will substitute alternative arrangements of comparable value, or at our discretion provide a full refund.

 

WEATHER CONDITIONS

Under no circumstances can we be held responsible for weather conditions, or can any ticket be cancelled or amended by you at any time on the basis of weather conditions.

 

TOUR PRICES

All tour prices quoted include transportation, accommodation, meals and entrance fees, as stipulated in our itineraries. Prices advertised on the site are subject to change and will only be fixed upon payment of the deposit.

 

PASSPORT & VISAS

Please check with a local Travel Agent regarding requirements for passport and visas. Generally, a tourist visa will be required for visits to the country of no longer than 3 months. Requirements and prices vary by country. Also, you can have the visa once you land at Kilimanjaro International Airport or Julius Nyerere Airport.

 

HEALTH DOCUMENTS

It is strongly advised that you consult your doctor or local health department at least 8 weeks prior to departing your country of origin. Yellow Fever cards and PCR test results may be required at the airport of entry to Tanzania.

 

INSURANCE

Insurance is not included and it is, therefore, strongly recommended that you obtain personal travel and medical insurance policy before departing your country.

 

Note for clients who wish to climb Mt  Kilimanjaro or Meru:

You must purchase travel insurance that covers Medical Evacuation up to 6,000 meters above sea level. It is very important that you ask and make sure your travel insurance company has included this in their final price.

 

RESPONSIBILITY

We reserve the right to make, with or without notice, alterations to, accommodation, meals, vehicles, schedule, or planned route should the need arise. Every effort will be made to consult and inform the client of any such changes prior to the beginning of the tour.

 

PAYMENT TERMS

 

What types of cards are accepted?

We accept Visa, Mastercard, and American Express.

 

Why is there a 3.5% charge?

This mode of payment has a 3.5% bank surcharge that has to be added on top of the original amount. The 3.5% charge does not come from Oclaa Adventures, it is a bank surcharge for credit card transactions.

 

Why should I make payment using credit card?

Credit card payment is the fastest and easiest method of making payments to us. We can immediately get an approval once the payment was processed. This payment method helps us confirm reservations easily.

 

How would I know if the credit card payment is successful?

After you input the card details thru the secured site, you’ll see the approval and the online receipt that you must print out for your records. Kindly send us a copy of the payment receipt to confirm your reservation promptly.

 

What happens if my credit card transaction fails?

If your credit card transaction fails, you may need to contact your bank to authorize payments to Tanzania. Often times, banks may put a caveat to protect their customers from fraudulent transactions in foreign countries
